My Marketing Automation Stack

My Marketing Automation Stack for 2025: Real Tools, No Fluff

There’s a lot of automation hype out there. Most stacks look like this:

Zapier + 27 SaaS tools + half-broken spreadsheets + a headache

This guide shows you a lean, field-tested stack I use across client projects and my own properties. It’s built for:

  • Data visibility
  • Repeatable workflows
  • Cross-platform optimization

And yes, it works while I sleep.

TL;DR: This is the automation stack I use daily to manage multi-channel campaigns, track UTMs, sync conversions, and optimize on autopilot. Built for performance-focused marketers and solo operators.

⚙️ The Stack At a Glance

FunctionTool(s) & Notes

🪧 How It Works (End-to-End Flow)

Let’s say a user clicks a Facebook Ad and fills out a lead form on a WordPress site.

  1. UTM-tagged Link is generated via [UTM Builder Tool]
  2. Page Visit & Pixel Events are tracked (GA4, Meta Pixel)
  3. Form Submit triggers WPForms > Zapier
  4. Zapier records the lead to Google Sheets + Notion
  5. Webhook fires → Meta Conversions API logs event
  6. Slack alert hits with UTM source, campaign, timestamp
  7. Daily digest is built in Notion with lead metadata

Bonus: GA4 + Tag Manager feed back enhanced conversions to optimize PMax.

🔍 Sample Automation Recipe: Lead Routing + Meta Sync

Trigger: WPForms or Tally submission with UTM fields Steps:

  • Filter spam by email domain & field logic
  • Write lead row to Google Sheet
  • Enrich with Clearbit or IP info (optional)
  • POST to Meta Conversions API
  • Create Slack alert with UTM breakdown

Advanced: Attach server-side timestamp, hash email for enhanced match quality

⚖️ Why Not Just Use HubSpot or Salesforce?

Good tools, bloated pricing.

My stack costs a fraction. And gives me:

  • Full control of data flow
  • Instant debugging (vs ticketing support)
  • Easier to evolve as projects change

This is about ownership, not just automation.

⚡ Templates & Toolkits

Google Sheets Templates

  • UTM dashboard with pivot filtering
  • Lead pipeline w/ source breakdown

Zapier Blueprints

  • WPForms > Meta API sync
  • Notion database build via webhook

Code Snippets

  • PHP snippet to attach UTMs to WPForms entries
  • Custom JS to enrich GA4 event data

Want these templates? I’ll release a toolkit bundle soon. Stay tuned.

🧰 Final Thoughts

You don’t need enterprise software to run a high-functioning, insight-rich funnel.
